HR Assistant II

Human Resources Department

Purpose:

The Human Resources Assistant II performs advanced clerical and administrative work in support of various Human Resources Department activities.   

Reports to:

Human Resources Administrator

Nature & Scope:

The Human Resources Assistant II works independently, performing work of a regular and recurring nature under close supervision. The nature of the work requires adherence to statutes, policies, procedures and contractual agreements. The work requires regular independent judgment, the ability to independently prioritize and organize work, and to coordinate activities of a senior departmental leader. The incumbent engages with highly sensitive information and must maintain absolute integrity of systems and confidentiality of classified data. The incumbent routinely interfaces with District and school administrative staff, employees, and the public.

Essential Job Functions:

  1. Conducts oneself in the best interest of students, in accordance with the highest traditions of public education and in support of the District’s mission.
  2. Provides secretarial support to departmental administrators, including handling phone inquiries, managing the administrative calendar, assisting with reception, and responding to questions, concerns and complaints.
  3. Maintains accurate and timely records, personnel files, and database systems, ensuring accuracy and confidentiality of all employee data.
  4. Processes materials related to resignations and retirements, employee leaves, non-renewal of temporary hires, terminations, mentor stipends, changes in status, substitute exclusions, and reimbursements for substitutes.
  5. Assists in the hiring of new employees, including screening applicants, processing application paperwork, scheduling interviews, checking references, interviewing substitutes, hiring summer staff, and orienting new hires.
  6. Processes materials related to employee vacancies and prepares job vacancy announcements to be posted online.
  7. Organizes the periodic review of District positions.
  8. Assists in various processes related to contracts and negotiations, including handling confidential documentation, assembling reports and budgetary information, and tracking negotiated contract changes.
  9. Manages paperwork concerning loan forgiveness and compliance with HB2062 reporting requirements.
  10. Maintains various scheduling documents, including calendars, crossing guard spreadsheets and administrative calendars.
  11. Audits District employee deductible absences.
  12. Maintains departmental records concerning employee evaluations.
  13. Schedules and conducts employee surveys and interviews.
  14. Ensures sufficient office supplies, including tracking supply usage and submitting purchase orders for replenishments; processes departmental invoices.
  15. Provides clerical support for investigations.
  16. Updates the departmental website and edits the content therein.
  17. Compiles and organizes departmental data for review.
  18. Facilitates the organization of administrative meetings, including compiling materials, providing staff support, securing locations and maintaining records.
  19. Assists with staff training and development and presents information to employee groups.
  20. Maintains effective working relationships with other members of the Department as well as other school personnel and community members, including those from diverse cultures or backgrounds or those who speak limited or no English.
  21. Complies with all procedures outlined in the Code of Professional Conduct and Annual Notices for Education Practitioners, Teachers, Support Staff, Administrators, Substitutes Handbook and all other Beaverton School District Policies and Procedures.

Required Qualifications:

  1. Must possess an Associate’s Degree.
  2. Must possess two years of secretarial and administrative support experience.
  3. In lieu of #1 and #2, must possess four years equivalent combination of education and experience necessary to perform the job functions.
  4. Must possess comprehensive knowledge of standard software platforms.
  5. Must possess knowledge of bookkeeping practices and procedures.
  6. Must be capable of operating standard office equipment.
  7. Must be able to type 70 words per minutes.
  8. Must possess excellent written and oral communications skills.
  9. Must possess a valid Oregon or Washington driver’s license.

Working Conditions:

The Human Resources Assistant II works primarily within an office environment. The work environment is often controlled and quiet, but will also frequently include moderate to loud noise. The work environment may include exposure to unpleasant interior temperatures, dirt, and communicable diseases. The work requires regular focus on a computer screen and precise control of fingers and hand movements. Bending, stooping, kneeling and lifting up to 20 pounds is required.
